CORPORATE ADMINISTRATIVE ASSISTANT

Reports to: Office Manager

SUMMARY:

The Administrative Assistant is responsible for handling a variety of administrative tasks.  Supports managers and employees with activities related to operations, accounts payable and payroll functions, communications, reporting and general office support.

  • Provide front desk coverage as needed (greeting visitors, answering multiple line reception console, managing mail, ordering supplies and other related duties)
  • Support the Office Manager with all duties related to overseeing the needs of the corporate office and provide coverage as needed with a special focus on insurance claim reporting, managing large property damage claims and insurance related legal matters.
  • Provide administrative support to the Portfolio Directors.
  • Assist the Portfolio Director with the management of the CVS property, including processing invoices, preparing CAM charges and forwarding checks for processing.
  • Prepare 6D documents for condominium properties.
  • Manage FedEx account; process invoices.
  • Cross train for all corporate administrative functions related to the operational processes of the company
  • Assist with preparation for offsite meetings and trainings.
  • Assist with special projects as needed
  • Follow company policies and procedures at all times
  • Complete required trainings as assigned.
  • Attend required meetings as requested.

REQUIRED EDUCATION/EXPERIENCE:

High School Diploma or equivalent education/experience.  A minimum of 2 years’ experience in an office setting.  Proficient in Microsoft Office suite and internet.  Demonstrated business communication, customer service and interpersonal skills.  Highly organized with careful attention to detail.

Bilingual capability (English/Spanish) is a plus although not required.
